HOW TO MAKE A RESERVATION

  • You can reserve an accommodation at the dormitory using Dormitory Reservation System.
  • Choose a preferred place for accommodation in the reservation system according to the dormitory number, the type of the room (single, double room) and the price range.

  • You can reserve one place at the dormitory or make a reservation together with Your friend (students ID number is required*) in the same room, if available. Please note that if you reserve a place with a friend – he/she must to login to the Dormitory Reservation System and confirm the reservation within 1 hour, or it will be cancelled.
  • After making a reservation – You must pay the deposit fee within 3 days, or it will be cancelled. Payment receipt will be provided on Your Academic Information System (AIS) account on outstanding payments section.

  • Reservation for accommodation cannot be done for the periods of 1 July – 20 October and 1 January – 15 February (the accommodation of the newly arriving foreign students is conducted during this period).
How to reserve a place in KTU dormitories

ACCOMMODATION AT THE DORMITORY

  • Within 5 working days after making the reservation (counting from the day of reservation submission), if you do not arrive within the specified time period, reservation will be cancelled.
  • NOTE: if You are making reservation from Your home country – make sure that You will be able to arrive within 5 work day term!
  • Upon arrival to contact the dormitory administrator to sign Accommodation contract, get a key to your room and a dormitory permit. You have to have two photographs for documents.
  • Fill in a Room Condition Act. A Room Condition Act is an appendix to the accommodation contract providing the information on the condition of the room, the inventory therein, the common areas in the block of rooms.
  • If you bring your personal furniture or other large inventory to be used in the room, you have to coordinate it with the dormitory administrator by filling in an application to use your personal inventory. You can fill in this request in the Academic Information System (AIS).
What to take with you on arrival to the dormitory

IF THERE IS NO VACANT PLACE AT THE DORMITORY

  • If there is no vacancy according Your criteria – You can register a request in the waiting list on the Dormitory Reservation System. When there will be a vacancy – system will send an offer to your academic email provided by the University.
  • If you register a request to the waiting list with a friend (students ID number is required*), the specified student has to login to the Dormitory Reservation System and confirm the request within 1 hour after its submission.
  • IMPORTANT: after registering to the waiting list, every 2 weeks You must confirm it on Dormitory Reservation System or it will be removed from the waiting list as non-active request. If you registered a request together with your friend – both of you must confirm it every 2 weeks.
  • After receiving an offer – you (or together with a friend) must confirm or decline it within 24 hours. If you decline – wait for another offer, if you do not act – your request will be canceled from the waiting list as non-active request.
  • Be advised: You can follow Your waiting list position by logging on the Dormitory Reservation System. Moreover, You are able to check if there are any other vacant places which will be suitable for You but do not fit with Your selected criteria.
  • The waiting list is formed by registration date and time of the requests. The offers for accommodation (if there are vacancies) are send from the 1st until 21st day of each month. (Except for the periods of 1 July – 20 October and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated).
  • Please note that Your preferred place at the dormitory will be vacant only if someone cancel his/her reservation or current resident moves out of the dormitory.

IMPORTANT: All information related to accommodation at university dormitory is provided by the Student’s academic email, so if You made a reservation or registered request to the waiting list, do not forget to check Your email constantly!

HOW TO MAKE A RESERVATION FOR RELOCATION

  • A resident can relocate by reserving another place at the Dormitory Reservation System.
  • You can choose a preferred place for relocation in the reservation system according to the dormitory number, the type of the room (single, double room) and the price range.

  • You can reserve one place for relocation or make a reservation together with Your friend (student ID number is required*) in the same room, if available. Please note that if you reserve a place with a friend – he/she must to login to the Dormitory Reservation System and confirm the reservation within 1 hour, or it will be cancelled.
  • The offers are formulated for changes in the reservation system from the 21st to the last day of the current month (inclusive).
  • After the reservation of the place,  you have to move to the new place on the first working day of the next month; until then, You need pay the difference of the deposit (if needed), sign the amendment of the Contract at the Student Accommodation Centre. You can come to sign the amendment of the Contract and move to the dormitory during working hours.

  • Relocation process is not available for the periods of 1 July – 20 October and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated.
  • If you fail to move into the reserved place on the first working day of the next month, reservation of relocation will be cancelled. You will be notified about the cancellation of your reservation by email.

IMPORTANT: When student moves to another dormitory or room on his/her own initiative more than once in the current school year. Relocation fee is applied for the second and every other relocation during the current school year – 8,00 EUR

Relocation to another room or dormitory

IF THERE IS NO VACANCY FOR RELOCATION

  • If there is no vacancy according Your criteria – You can register a request in the waiting list on the Dormitory Reservation System. When there will be a vacancy – system will send an offer to your email provided by the University.
  • If you register a request to the waiting list with a friend (student ID number is required*), the specified student has to login to the Dormitory Reservation System and confirm the request within 1 hour after its submission.
  • IMPORTANT: after registering to the waiting list, every 2 weeks You must confirm it on Dormitory Reservation System or it will be removed from the waiting list as non-active request. If you registered a request together with your friend – both of you must confirm it every 2 weeks.
  • After receiving an offer – you (or together with a friend) must confirm or decline it within 24 hours. If you decline – wait for another offer, if you do not act – your request will be cancel from the waiting list as non-active request.

IN ORDER TO MOVE OUT

  • In order to move out a resident must fill in an application to move out via the Academic Information System (AIS).
  • After filling of the application, a resident has to pay the fee for the period have lived at the dormitory and other assigned charges (if any).
  • To fill in a request for the refund of the advance payment (deposit) or overpayment* (if you have not filled in a request for the unpaid fees for accommodation at the dormitory to be covered by your advance payment). This request can be filled in after your log onto the Academic Information System (AIS).
  • If you do not have an account in the bank operating in Lithuania or another country of the European Union for the refund of the advance payment after you move out of the dormitory, you have to fill in a request for the unpaid fees for accommodation at the dormitory to be covered by your advance payment. This request can be filled in after your log onto the Academic Information System (AIS).
  • At the time of moving out of the dormitory and terminating the accommodation contract, a fee for accommodation for a current month is calculated according to the procedure for payment of the fees approved by the University’s Rector. All the residents, who move out of a dormitory before the 15thof the month, pay half of a monthly accommodation fee.

IMPORTANT *A request for the refund of the advance payment/overpayment can only be submitted after the date of the termination of the contract on accommodation at the dormitory (inclusive).

Moving out of the dormitory process

WHEN MOVING OUT OF THE DORMITORY, YOU HAVE TO:

  • Remove all personal items;
  • Leave the room and common premises nearby orderly; you have to clean the room if you have not ordered the service of final cleaning, take out the garbage. For your convenience, we have prepared the cleaning guides that will help to ensure cleanliness and order before moving out;
  • Present a proper condition room (the dormitory’s administrator will check your room), give back the key and your dormitory card to the dormitory’s administrator. If the date of moving out is specified not on the working day of the administration, contact the dormitory’s administrator regarding checking of your room on the last working day before moving out.

IMPORTANT: A one-off final cleaning fee (20 EUR) is applied for the final cleaning service when the resident who is moving out has failed to ensure the cleanliness of the residential room, a shower next to the room or shared by two rooms, a toilet, a hall and a kitchenette is clean, orderly and meet the requirements of hygiene standards.

HOW TO MAKE INITIAL RESERVATION

  • You can reserve a place in the dormitory by using Dormitory Reservation System as soon as you login to the University information system (AIS) (you will receive login information by email). From 5 July to 15 September and from 5 January to 15 February (the period may be extended by the decision of the head of the Student Accommodation Centre, considering the need of the Entrants for the accommodation in the dormitories).
  • Choose a preferred place for accommodation in the reservation system according to the dormitory number, the type of the room (single, double room) and the price range.
  • You can reserve one place at the dormitory or make a reservation together with your friend (students ID number is required*) in the same room, if available.
  • If you reserved a place with a friend, your friend has to log onto the Dormitory Reservation System and confirm the initial reservation within 1 hour. If he/she fails to confirm the initial reservation within the set deadline, the reservation will be valid for confirmed place only.

  • Your place at the dormitory will be reserved when the employee of the Student Accommodation Centre approves your initial reservation within two working days. If it is impossible to reserve the place at the dormitory specified in the initial reservation, an alternative place at the dormitory will be offered to you and you have to confirm this reservation within 1 working day.
  • If you fail to confirm the reservation of the offered place within the set deadline, the initial reservation is cancelled.
  • You have to arrive and move into the reserved place until the end of the first semester (i.e., 30 September for the autumn semester (inclusive) and 28 February for the spring semester (inclusive)).
  • If you do not know the specific date, you can specify it until 15 September (reservation of the place in the autumn semester) or 15 February (reservation of the place in the spring semester) by logging onto the Dormitory Reservation System but no later than 5 calendar days before the date of your arrival.

  • Advance payment for your reserved place(s) has to be paid within 5 days after the confirmation of the reservation; otherwise, your reservation will be cancelled. Payment receipt will be provided on your Academic Information System (AIS) account on outstanding payments section. IF THERE IS NO VACANT PLACE AT THE DORMITORY

  • In the absence of the preferred vacant place, you can register a request in the waiting list using Dormitory Reservation System.
  • If you register a request to the waiting list with a friend (students ID number is required*), the specified student has to login to the Dormitory Reservation System and confirm the request within 1 hour after its submission.
  • You can only submit one request to the waiting list for the place at the dormitory.
  • Your requested place at the dormitory is not-yet free at the moment and will only become vacant if another person cancels the reservation or moves out of the dormitory. We recommend choosing fewer specific criteria to increase your opportunities to get an offer for a place at the dormitory sooner.
  • When a preferred place in the dormitory becomes vacant, the System sends an offer to the email. The Entrant has to confirm or reject the offer within one working day after the receipt of the offer by logging to the Dormitory Reservation System.

*Friend’s ID number: a student’s personal code provided by KTU (11 digits) that can be verified by logging onto the Dormitory Reservation System (personal information on the left side).

HOW TO MAKE A RESERVATION

Students with disabilities or individual needs can be accommodated in KTU dormitories No. 2, No. 4, No. 10, and No. 13.

Students who wish to receive priority allocation at the dormitory or a price adjustment due to difficult social and financial situations must submit an application and documents justifying the circumstances specified in the application by the 20th of the month (inclusive) via email to klausk@ktu.lt or by mail to Studentų St. 50, Kaunas.

The Guidelines for the Application of Special Prices and Allocation of Priority Places in the Dormitories of Kaunas University of Technology

Documents to be submitted:
1. request
2. documents, supporting the circumstances indicated in the request:
2.1. certificate on family composition
2.2. certificate on family’s and (or) person’s calculated and paid salary and other benefits (from the municipality)
2.3. other documents supporting student’s material and/or social status

If necessary, an accompanying person can also be accommodated. A reduced accommodation fee may apply for both the student and the accompanying person.

F.A.Q.

You can reserve a place in the dormitory by using Dormitory Reservation System as soon as you login to the University information system (AIS) (you will receive login information by email). More information you will find in a section – Services.

Your place at the dormitory will be reserved when the employee of the Student Accommodation Centre approves your initial reservation within two working days.

If the time of the arrival is unknown at the time of the reservation, he/she can do it by logging onto the System until 15 September (reservation of the place in the autumn semester) or 15 February (reservation of the place in the spring semester) but no later than 5 calendar days until the date of the arrival.

You have to arrive and move into the reserved place until the end of the first semester (i.e., 30 September for the autumn semester (inclusive) and 28 February for the spring semester (inclusive)); otherwise the reservation will be cancelled. There is a doorkeeper working 24/7 in each dormitory who will meet you at any time of the day.

You must confirm it within 24 hours and follow the further instructions. If you registered a request together with your friend – both of you must confirm it within 24 hours.

If you want to live with your friend, while making a reservation you can select reservation with a friend option and enter his ID number.

This information is valid for the student who has Academic Information System (AIS) account. The ID number each student can find by connecting to Dormitory reservation system (on above left part of the system window).

After registering to the waiting list, every 2 weeks You must confirm it on Dormitory Reservation System or it will be removed from the waiting list as non-active request. If you registered a request together with your friend – both of you must confirm it every 2 weeks.

Your reservation for accommodation (after it is done) will be valid for 5 work days (if the deposit is paid within 3 days).  NOTE: if You are making reservation from Your home country – make sure that You will be able to arrive within 5 work day term!

If you are still connected to Dormitory reservation system You can cancel your reservation by selecting that option below the provided documents information. If you want to cancel reservation after logging out of dormitory reservation system – contact Student Accommodation Centre office.

If you are not able to select a place for relocation, it is probably because at the moment relocation cannot be proceeded. A place for relocation can be reserved from 21st until the last day of each month, on other days you only can register a request to the waiting list.

If there is no vacancy according Your reservation criteria You can register a request in the waiting list on the Dormitory reservation system. When there will be a vacancy – system will provide an offer for You by the email provided by the University.

There are 2 waiting lists formed by registration date and time of the requests:

Offers for accommodation (if there are vacancies) are send from the 1st until 21st day of each month.*
Offers for relocation are send from 21st until the last day of each month.*

*Except for the periods of 1 July – 15 September and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated. The priority is given for the entrants who have registered request in the waiting list during the process of the accommodation of newly arriving students, for the above reason for all senior year residents waiting list position can be changed.

A student who registered request to the waiting list can see his waiting position for those dormitories which fits by selected criteria only. For example: if you select that you want to accommodate to dormitory 5 in a double room, the waiting number will be only for the dormitory 5. The waiting list is formed by registration date and time of the requests.

International students from other universities are not accommodated in University Dormitories.
