If You have login data to the University’s Academic Information System and University’s email system and want to reside at the dormitory, You can reserve a place at the dormitory in the Dormitory Reservation System.

 

Services

HOW TO MAKE A RESERVATION

  • You can make a reservation by using online Dormitory reservation system – select RESERVATION on above menu.
  • You can choose a place by these criteria: preferred dormitory, type of the room or the range of the accommodation price.

  • You can reserve one place at the dormitory or make a reservation together with Your friend (students ID number is required*) in the same room, if available. Please note that if you reserve a place with a friend – he must to login to the Dormitory Reservation System and confirm the reservation within 1 hour, or it will be cancelled.
  • After making a reservation – You must pay the deposit fee within 3 days, or it will be cancelled. Payment receipt will be provided on Your AIS account on outstanding payments section.

  • Information about dormitory, its infrastructure and inside services You can find on section DORMITORIES on above menu.
  • Reservation for accommodation cannot be done for the periods of 1 July – 15 September and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated).

ACCOMMODATION AT THE DORMITORY

  • Within 5 working days after making the reservation (counting from the day of reservation submission) You must visit Dormitory group office (Griciupio st. 13, Kaunas) to sign Accommodation contract, or Your reservation will be cancelled.
    NOTE: if You are making reservation from Your home country – make sure that You will be able to arrive within 5 work day term!
  • Upon arrival to accommodate You should have prepared Accommodation contract, 2 passport photos (for entrance card), a statement of paid deposit fee.

IF THERE IS NO VACANT PLACE AT THE DORMITORY

  • If there is no vacancy according Your criteria – You can register a request in the waiting list on the Dormitory reservation system. When there will be a vacancy – system will send an offer to your e-mail provided by the University.
  • If you register a request to the waiting list with a friend (students ID number is required*), the specified student has to login to the Dormitory Reservation System and confirm the request within 1 hour after its submission.
  • IMPORTANT: after registering to the waiting list, every 2 weeks You must confirm it on Dormitory Reservation System or it will be removed from the waiting list as non-active request. If you registered a request together with your friend – both of you must confirm it every 2 weeks.
  • After receiving an offer – you (or together with a friend) must confirm or decline it within 24 hours. If you decline – wait for another offer, if you do not act – your request will be canceled from the waiting list as non-active request.
  • Be advised: You can follow Your waiting list position by logging on the Dormitory reservation system. Moreover, You are able to check if there are any other vacant places which will be suitable for You but do not fit with Your selected criteria.
  • The waiting list is formed by registration date and time of the requests. The offers for accommodation (if there are vacancies) are send from the 1st until 21st day of each month. (Except for the periods of 1 July – 15 September and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated).
  • Please note that Your preferred place at the dormitory will be vacant only if someone cancel his/her reservation or current resident moves out of the dormitory.

IMPORTANT: All information related to accommodation at university dormitory is provided by the Student’s academic e-mail, so if You made a reservation or registered request to the waiting list, do not forget to check Your mail box constantly!

HOW TO MAKE A RESERVATION FOR RELOCATION

  • You can make a reservation for relocation by using online Dormitory reservation system – select RESERVATION on above menu.
  • You can choose a place by these criteria: preferred dormitory, type of the room or the range of the accommodation price.

  • You can reserve one place for relocation or make a reservation together with Your friend (student ID number is required*) in the same room, if available. Please note that if you reserve a place with a friend – he must to login to the Dormitory Reservation System and confirm the reservation within 1 hour, or it will be cancelled.
  • Reservation for relocation can be done from 21st day until the last day of each month.
  • After making a reservation until the last day of the current month, You must visit Dormitory group office and proceed with documentation and pay the difference of the deposit (if needed).
  • The actual relocation can be performed on the first working day of the new month.

  • Relocation process is not available for the periods of 1 July – 15 September and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated).

Important: When student moves to another dormitory or room on his/her own initiative more than once in the current school year. Relocation fee is applied for the second and every other relocation during the current school year – 8,00 EUR

IN ORDER TO MOVE OUT

  • In order to move out a resident must apply to the dormitory’s administrator and fill an application.
  • After filling of the application, a resident has to visit the office of Dormitory Group (Gričiupio Str. 13, KTU Dormitory No. 10) and cancel an accommodation contract. Upon cancelation a resident has to make sure that all fees for the dormitory and other payments (if any) are paid.
  • All the residents, who move out of a dormitory before the 15th of the month, pay half of a monthly accommodation fee.
  • Upon arrival to cancel an accommodation contract every student has to fill an application form for refunding of the deposit payment. Therefore, you have to specify your personal account in Lithuania-based bank. Deposit payment will be refunded within 30 calendar days.
  • A student’s deposit payment can also be used as the last month’s payment for accommodation at the dormitory. If a student wants to use a deposit payment as the last month’s payment, he/she has to inform the dormitory’s administrator one month before moving out.

THE FOLLOWING IS REQUIRED BEFORE MOVING OUT

  • Remove all personal belongings from the room;
  • Present a proper condition room to the dormitory’s administrator;
  • Return the room key;
  • Return the dormitory entrance card.

HOW TO ORDER A DOCUMENT

Dormitory group can provide these types of documents:

  • Sertificate of living place (to declare place of residence)
  • Sertificate of living place
  • Sertification payments for the dormitory

Each student can order required document by writing us an e-mail. In the e-mail has to be specified: Full name, Dormitory and room number, type of document required. Document will be issued by the next day morning. Document has to be collected personaly.

ASSIGMENT OF THE DORMITORY

  • Each year, accommodation process for newly arriving foreign students is organised by Dormitory group and International depatment of KTU.
  • Every newly arriving student before arriving to Kaunas receives an email with “Arrival form” where he/she must indicate preferences for the particular dormitory and type of room. Your preferences will be considered according to the availability upon your arrival.
  • Before your arrival You will be emailed with welcome letter containing the exact information about arrival address and assigned dormitory. The specific room will be assigned upon your arrival considering the availability at the dormitory.

ARRIVAL

  • Every student has to arrive directly to the assigned dormitory. The arrival address will be provided by Dormitory group couple days before your arrival with a “Welcome letter”.
  • Upon arrival every student has to meet the dormitory’s administrator and sign accommodation documents.

After signing the accommodation contract, every student within two days has to pay a deposit payment. All information about accommodation and deposit fees is available in the section PAYMENT of our website.

How can I reserve a place in a dormitory?
A place in a dormitory you can reserve by using online Dormitory Reservation System – on above menu select RESERVATION. In the System you can choose a preferred dormitory, room, type of the room or the range of the accommodation price.

I want to live with my friend, how to make a reservation?
If you want to live with your friend, while making a reservation you can select reservation with a friend option and enter his ID number.

What is ID number and where to find it?
The ID number each student can find by connecting to Dormitory reservation system (on above left part of the system window).

I want to accommodate with my girlfriend / boyfriend, what to do?
If you want to accommodate with your girlfriend or boyfriend – you must contact Dormitory group office for detailed information.

What is reservation validation time?
Your reservation for accommodation (after it is done) will be valid for 5 work days (if the deposit is paid within 3 days).  NOTE: if You are making reservation from Your home country – make sure that You will be able to arrive within 5 work day term!

How to cancel a reservation?
If you are still connected to Dormitory reservation system You can cancel your reservation by selecting that option below the provided documents information. If you want to cancel reservation after logging out of dormitory reservation system – contact Dormitory group office.

I want to relocate to another room or dormitory, how can I do that?
Every resident has a right to improve living conditions and to relocate if needed. Relocation can be performed by reserving a place on Dormitory reservation system from 21st until the last day of each month (except the periods of newly arriving student’s accommodation). Why I am not able to select a place for relocation, when I will be able to do that?
If you are not able to select a place for relocation, it is probably because at the moment relocation cannot be proceeded. A place for relocation can be reserved from 21st until the last day of each month, on other days you only can register a request to the waiting list.

There is no vacancy according my criteria, what to do?
If there is no vacancy according Your reservation criteria You can register a request in the waiting list on the Dormitory reservation system. When there will be a vacancy – system will provide an offer for You by the email provided by the University.

What I must do after registering my request / request with a friend to the waiting list?
After registering to the waiting list, every 2 weeks You must confirm it on Dormitory Reservation System or it will be removed from the waiting list as non-active request. If you registered a request together with your friend – both of you must confirm it every 2 weeks.

What I must do after receiving an offer for accommodation / relocation?
You must confirm it within 24 hours and follow the further instructions. If you registered a request together with your friend – both of you must confirm it within 24 hours.

According to what criteria the waiting list is formed?
There are 2 waiting lists formed by registration date and time of the requests:
Offers for accommodation (if there are vacancies) are send from the 1st until 21st day of each month.*
Offers for relocation are send from 21st until the last day of each month.*
*Except for the periods of 1 July – 15 September and 1 January – 15 February during the process of the accommodation of newly arriving foreign students, the period can be updated.

Why I am not able to check my waiting list number?
A student who registered request to the waiting list can see his waiting position for those dormitories which fits by selected criteria only. For example: if you select that you want to accommodate to dorm 5 in a double room, the waiting number will be only for the dorm 5. The waiting list is formed by registration date and time of the requests.

I have other question about my waiting list number on Dormitory reservation system, to whom should I address it?
If you notice any changes about your waiting number and have any questions, write us to dormitory@ktu.lt On the letter please note all the specific details regarding when you notice the change and etc.

I want to cancel my accommodation contract and move out of the dormitory, what should I do?
If you want to move out of the dormitory first you must to contact your dormitory administrator and fill in an application form. She will advise you with following steps of procedure. More information about moving out you will find on a section – Services.

I want to accommodate at the dormitory, but I am a student of another university.
International students from other universities are not accommodated in KTU Dormitories.

Where I can find a bill for accommodation at the dormitory?
The fee is calculated in the beginning of each month and the bill is provided to the student’s academic information system account.

How can I pay and until when I must pay accommodation fee?
Accommodation fee has to be paid until the 25th of each month. For example, if a resident is provided with a bill on April 5, the payment has to be paid until April 25 at the latest. All the information how you can pay you will find in section – Payments.

If my accommodation fee will be paid by other person, do I have to warn someone?
If your accommodation fee will be paid by other person you must inform about this your dormitory administrator. Please advise a person who will be paying your accommodation fee that he must specify in his payment resident full name, dormitory and room number.

What can I do if accommodation is too expensive for me?
If your accommodation is too expensive for you we suggest you to relocate to cheaper place at the dormitory or apply to klausk@ktu.lt

What should I do if i cannot pay my accommodation fee on time?
If you cannot pay your accommodation fee on time you can sign payment delay agreement at Dormitory group office. More information will provide your dormitory administrator.

I moved out of the dormitory, how can I get my deposit back?
The deposit payment will be returned to you back within 30 days after your accommodation agreement cancelation once you fill in specific application at Dormitory group office.

I need a document stating my living place at the dormitory, where I can get it?

What do I do if my neighbours are too noisy?
If your neighbours are too noisy first ask them politely to keep the noise down. If that will be not enough – inform your dormitory administrator about your concern.

The inventory of the dormitory has stopped working properly, who I should inform?
If you notice that the inventory of the dormitory is not working properly inform your dormitory administrator.

Who should I contact regarding internet access?

Where I can keep my bicycle?
You can keep your bicycle at bicycle storage at the dormitory. Where to find bicycle storage will tell your dormitory administrator.

What is the guests visiting hours?
Resident has a right having guests at the dormitory from 8.00 a.m. till 11.00 p.m. and until 00.00 p.m. on Thursdays, Fridays, and Saturdays and on the eve of officially declared days off (holidays). Guests are registered in the guest book. Resident who has guests is jointly responsible for their behaviour and actions, which is confirmed by his/her signature in the guest book.

How can I reserve a place in a dormitory if I am a freshman?
Each year, accommodation process for newly arriving international students is organized by Dormitory group and KTU International Office. Every newly arriving student before arriving to Kaunas receives an email with “Arrival form” where he/she must indicate preferences for the particular dormitory, type of room and arrival date. According this information you will be assigned with a place in a dormitory. Your preferences will be considered according to the availability upon your arrival. More information you will find in a section – Services.

When I will receive an information about assigned place in a dormitory?
Before your arrival you will be emailed with welcome letter containing the exact information about arrival address and assigned dormitory. The specific room will be assigned upon your arrival considering the availability at the dormitory.

When can I arrive to the dormitory?
You will be welcome at the dormitory by the date and time you specified on your arrival form for International studies department of KTU. There is a doorkeeper working 24/7 in each dormitory who will meet you at any time of the day.

What kind of services includes accommodation price?
Accommodation at the dormitory price includes all the utility taxes (such as electricity, heating, internet, hot water and etc.) In all the dormitories there are self-service laundry room, bicycle storage and parking area free of charge. In most of the dormitories there are recreational premises suitable for leisure, sports or study. A resident of the dormitory can use not only his dormitory inventory but also other dormitories facilities.

What kind of inventory I will find in my dormitory room?
In all the rooms a resident will find: bed, table, chair, cabinet, wardrobe and access to the internet.
